BOOKING CONDITIONS

By making an appointment you agree to these terms & conditions & will make all efforts to abide by them.


VIVID Hair Studio Liverpool reserve the right to cancel, delay, move or change an appointment / treatment if necessary due to any reasons beyond our control without recompense to the client except in the event of cancellation, where by deposits will be refunded.


DEPOSITS

All online bookings require at least a 25% advanced deposit.

Deposits are refundable as long as your appointment is cancelled at least 24hrs prior to your booking time.


CANCELLATIONS

If you need to cancel your appointment please endeavour to do so more than 24 hours in advance.


Cancelling can be done via the website booking system, phone, SMS, or email.

PUNCTUALITY

Arriving late may interfere with our ability to complete your services so please try to arrive on time & ready to begin your service. If it is the first time you have come to the studio, please try to arrive 10 mins early to give you time to complete your consultation form.


REFUND POLICY

We are fully qualified to carry out all treatments offered in studio & operate on a strictly professional basis - if you are unhappy with any treatment or service carried out please bring it to our attention as soon as you can.

We do not offer refunds on any treatments but any complaints will be dealt with immediately with an aim to resolve any concerns, with disputed services re-done if required to the clients satisfaction.


PRICE ALTERATION

We reserve the right to alter prices without prior notice.


STAFF SICKNESS

If for any reason/s your appointment is cancelled by us due to sickness or unforeseen circumstances we will endeavour to find you an alternative appointment within 7 days. We will contact you within 48 hours of cancellation to discuss your requirements.


INSURANCE

We are fully insured for all services we carry out at the studio.


HEALTH & SAFETY

We operate strictly in line with standard industry procedures & in many instances go above & beyond this with our approach to health & safety.

Hygiene is of utmost importance to us & all of our applicable equipment is sterilised between services. Our studio is thoroughly cleaned both during & at the end of each working day.


COMPLAINTS PROCEDURE

It is our ultimate aim to ensure that every client is treated as an individual & comes away delighted with their treatments & experience.

We do however acknowledge that on occasion our clients individual expectations may not have been met.

In such unfortunate circumstances we will always ensure that we correct any issues at the earliest opportunity.

It is therefore of the upmost importance that any concerns must be identified by the client immediately during the treatment if applicable to rectify or adjust the treatment to your request.


If after speaking to the stylist during your appointment you remain unhappy please email us at hello@lovefromvivid.com.

We will endeavour to contact you via email & attempt to resolve any issues to the best of our capabilities within 7 days with regards to your complaint.

If this procedure has not been followed & you have not addressed it on the day of your appointment your complaint may be made void.


CLIENT CONSULTATIONS & CONDITIONS / PREGNANCY

Pregnant women in the first trimester are unable to have specific services - please discuss this with us & seek further advice from your GP where applicable.

Please advise us of any injuries, health conditions & allergies you have during this consultation.

We reserve the right to request that all clients update us on any change to their conditions. This may involve re-completion of the consultation process every 6 months.

Patch tests are required for all hair colour treatments. Patch tests must be undertaken frequently as allergies can develop at any stage even if it is a regular procedure that you have.


PERSONAL BELONGINGS

Please keep all of your valuables on your person - VIVID Hair Studio Liverpool cannot be held responsible for any lost belongings.

Parking your vehicle on site is done so at your own risk.


SMOKING & VAPING

Smoking & vaping is not permitted in the studio. We have an area outside the studio where clients can smoke or vape.


CHILDREN

Please make sure children are supervised at all times in & around the Studio. VIVID Hair Studio Liverpool will not accept any responsibility for unsupervised children & any damage incurred to the premises or products will be charged to the individual client before they leave.

We would generally advise against bringing children into the studio unless the child is receiving a treatment.


ANIMALS

Assistance dogs are permitted at the studio.

As a general rule of thumb we would not advise you to bring animals to the studio with you for your appointment.


WHEELCHAIR OR DISABLED ACCESS

The area around the studio is flat and accessible via wheelchair except for the 20cm step to access the studio. We will always do everything we can to accommodate each persons individual needs.


PRIVACY
POLICY

We take privacy seriously & will only use the information we collect to provide our services.

We do not share or sell the information we collect for any other purpose other than to remind you about your appointments & to send you the occasional email about our latest news or offers.



This privacy policy explains how we look after personal information you give us & the choices you make about marketing communications you agree we may send you. This policy explains how we do this & tells you about your privacy rights & how the law protects you.



WHO ARE WE?

VIVID Hair Studio Liverpool is the trading name of Michelle Gregory who operates as a sole trader. We are the data controller responsible for your privacy with regards to all studio activity.

The website is operated by ourselves, we are the data processor who processes your data on the website.


WHAT INFORMATION DO WE COLLECT ABOUT YOU?

We collect the minimum amount of information about you when you book an appointment for a service or treatment or visit the studio for a service or treatment, whether contact is online, by email or over the phone.

The information you give us may include your name, address, email address, phone number, relevant history – for example dates of services, colour formula codes, your preferred stylists, payment & transaction information.


HOW INFORMATION ABOUT YOU WILL BE USED

In law, we are allowed to use personal information, including sharing it outside the studio, only if we have a proper reason to do so, such as to fulfil a contract with you i.e. to provide the service or treatment you have requested & to communicate with you about your appointments.

We will contact you via phone, email or SMS. We consider you having made the appointment as consent to undertake this activity but you may opt-out at any time.

After visiting us, we may send you an email or SMS asking you to rate our services & provide feedback. We consider your agreement & participation in the service as consent to undertake this activity but you may opt out at any time.

We will not undertake phone, mail, email or SMS marketing without you first providing consent for us to do so. Of course, you may opt out of receiving marketing material at any time.



We have rigorous data protection & security policies in place. We will not share your information with any other third party without your consent except to help prevent fraud, or if required to do so by law.


MARKETING

We would like to send you information about products & services which may be of interest to you. We will ask for your consent to receive marketing information.

If you have consented to receiving marketing, you may opt out at a later date.

You have the right at any time to stop us from contacting you for marketing purposes.

If you no longer wish to be contacted for marketing purposes, please contact hello@lovefromvivid.com to request to be removed from any mailing lists.


HOW LONG WILL INFORMATION BE KEPT FOR?

Unless you request otherwise, we will keep your information to contact you no more than eight times a year for a maximum of 1 year from your last visit to the salon.

Unless requested otherwise by yourself, your information will be kept for a minimum of 6 years. After this time we will delete all your personal information, except for your name, relevant client history (e.g. allergy test records which we keep for 4 years) & financial transactions (which we are obliged to keep for 6 years).


WHERE IS YOUR INFORMATION KEPT?

Your information is stored electronically on encrypted secure servers at the studio location. This server is backed up to the cloud where it is also encrypted & secure. Payment information is stored by Barclaycard in accordance to their industry leading strict policies.


ACCESS TO YOUR INFORMATION & CORRECTION

You have the right to request a copy of the personal information that we hold about you. We may charge a fee to cover our administration costs to collect this information.

We want to make sure that your personal information is accurate & up-to-date. You may ask us to correct or remove information you think is inaccurate.



You have the right to ask us to object to our use of your personal information, or to ask us to delete, remove or stop using your personal information if there is no need for us to keep it.


E-NEWSLETTERS

We may email e-newsletters to inform you about products, services & treatments provided by the studio. You have the opportunity to unsubscribe from e-newsletters at any time.

E-newsletters may contain subscriber tracking facilities within the actual email, for example, whether emails were opened or forwarded, which links were clicked on within the email content, the times, dates and frequency of activity. We use this information to refine future email campaigns & provide you with more relevant content based around your activity.

USE OF COOKIES

Cookies are text files placed on your computer to collect standard internet log information & visitor behaviour information. CCTV & Wi-Fi

We do not currently operate a CCTV system at the studio, however we use a smart doorbell to gain access which may store images or videos of you for up to 30 days.



We provide free guest Wi-Fi to our clients. We do not collect any data.


CHANGES TO OUR POLICY

We keep our privacy policy under regular review & we will place any updates on this webpage. This privacy notice was last updated March 2024.
